1. Scope and eligibility
RingReady is operated by Dravara, LLC, a Florida limited liability company. This policy applies to ringready.org, RingReady account services, support channels, and related U.S. services that link to this policy.
RingReady is offered only to people who reside in the 50 United States or the District of Columbia and for U.S.-based shows, organizations, lodging, RV, and travel services. The service is for adults age 18 or older.
This policy does not control the independent practices of kennel clubs, registries, superintendents, show secretaries, hotels, campgrounds, payment processors, or other third parties. Their own privacy notices apply when they receive information.
2. Information we collect
The information collected depends on what you choose to do. We collect information you provide, information generated through your use of RingReady, information received from organizations you authorize, and limited technical information needed to operate and secure the service.
| Category | Examples | Primary purpose |
|---|---|---|
| Identifiers and contact details | Name, email, phone, mailing address, account identifier, and login-related records. | Create and secure accounts, prefill permitted forms, communicate, and provide support. |
| Role and organization details | Exhibitor, judge, show chair, or volunteer profile; club affiliation; credentials; availability; and role permissions. | Show the correct workspace, validate permissions, and coordinate requested show activity. |
| Dog and entry information | Registered and call names, registration number, breed, sex, birth date, titles, microchip when required, classes, entry drafts, and official submission status. | Maintain reusable dog profiles and prepare or track entries you request. |
| Show and travel information | Saved shows, dates, venue, search area, itinerary, party size, dog count, lodging or RV preferences, reservations, and cancellation requests. | Provide discovery, scheduling, travel planning, booking, and servicing features. |
| Commercial and transaction records | Items selected, prices, fees, taxes, billing profile label, processor or provider reference, receipts, refunds, and disputes. | Complete authorized transactions, account for RingReady fees or partner compensation, and service purchases. |
| Communications and submissions | Waitlist responses, support tickets, privacy requests, survey responses, and messages sent through RingReady. | Respond to you, improve workflows, manage requests, and keep necessary records. |
| Device, usage, and security data | IP address, browser and device type, timestamps, pages or controls used, error records, session data, and anti-abuse signals. | Operate, troubleshoot, measure, protect, and prevent fraud or automated abuse. |
RingReady does not ask you to place Social Security numbers, account passwords, full payment card numbers, card security codes, or bank routing details in support tickets or profile fields. Secure payment fields, when available, are provided by the payment processor.
3. How we use information
We use personal information to:
- Provide, personalize, maintain, and secure RingReady accounts and role-specific workspaces.
- Reuse owner, dog, organization, and travel details at your direction so you do not repeatedly enter them.
- Prepare entries, coordinate assignments, and communicate with clubs or official entry services you select.
- Display and service hotel, RV, campground, and travel options you request.
- Process authorized transactions, disclose RingReady fees or partner compensation, issue receipts, and handle cancellations or disputes.
- Respond to support, accessibility, legal, and privacy requests.
- Detect abuse, protect accounts, debug problems, and maintain service reliability.
- Comply with law, enforce our terms, and establish or defend legal claims.
- Send service messages and, when you request them, RingReady availability or marketing updates. Marketing messages include an unsubscribe method.
We do not use personal information to make decisions that produce legal or similarly significant effects through automated profiling.
4. How we disclose information
We may disclose information only as needed for the following purposes:
- Service providers. Hosting, database, authentication, communications, customer support, security, analytics enabled with appropriate controls, and payment providers that process information for RingReady.
- Show organizations and entry services. Clubs, registries, superintendents, show secretaries, judges, volunteers, or official entry systems when needed for a workflow you request or an organization you represent.
- Travel providers. Hotels, RV parks, campgrounds, reservation systems, and travel service providers when you request availability, booking, changes, or cancellation.
- Professional advisers and authorities. Lawyers, accountants, insurers, regulators, law enforcement, or courts when reasonably necessary to comply with law or protect rights and safety.
- Business transactions. A potential or completed merger, financing, acquisition, restructuring, or sale, subject to appropriate confidentiality and legal protections.
RingReady does not sell personal information for money and does not share personal information for cross-context behavioral advertising. RingReady does not display targeted advertising. If those practices ever change, we will update this policy and provide legally required opt-out controls before the change takes effect.
5. Your privacy choices and U.S. state rights
RingReady offers U.S. residents a common set of privacy request options, including access, correction, deletion, and portable export, subject to identity verification and lawful exceptions. You may ask us to:
- Confirm whether we process your personal information and provide access to it.
- Correct inaccurate personal information.
- Delete personal information.
- Provide a portable copy of eligible information.
- Opt out of a sale, targeted advertising, or qualifying profiling if RingReady ever engages in those activities.
- Limit or withdraw consent for sensitive-data processing where applicable.
- Appeal a decision on a privacy request.
Submit a request to privacy@ringready.org. Tell us the email associated with your account and the request you are making. Do not send a password, full payment card number, or government identification unless we specifically request a secure verification method.
We may verify your request using information already associated with your account. An authorized agent may submit a request where state law permits, but we may require proof of authority and direct identity confirmation. We will respond within the period required by applicable law and explain any permitted extension or denial. You will not receive discriminatory treatment for exercising a privacy right.
Because RingReady does not sell personal information or use it for targeted advertising, there is currently no sale or targeted-advertising opt-out needed. We treat a legally recognized browser opt-out preference signal as a request for any practice to which the signal applies.
California notice
The table above describes the categories of personal information RingReady may collect, the examples within each category, and the purposes for collection. The disclosure section identifies the categories of recipients. RingReady does not sell or share personal information as those terms are defined by the California Consumer Privacy Act. We do not knowingly sell or share the personal information of anyone under 16.
6. Retention
We keep information only as long as reasonably necessary for the purpose collected, including to provide requested services, maintain account and transaction history, meet tax or accounting duties, resolve disputes, enforce agreements, protect security, and comply with law.
Retention depends on the record. Waitlist details are kept until you withdraw or they are no longer useful for the requested launch communication. Account and profile data is kept while the account is active and for the time needed to complete deletion and required backups. Transaction and official-entry records may be retained longer when needed for accounting, provider servicing, charge disputes, or legal obligations. Support and security records are retained based on the nature of the request or incident.
When information is no longer needed, we delete it, deidentify it, or isolate it until secure deletion is practical.
7. Security
We use administrative, technical, and organizational measures designed to protect personal information. These measures include access controls, role-based authorization, encrypted transport, data minimization, anti-abuse controls, and use of tokenized payment services rather than storing full card details.
No service can guarantee absolute security. Protect your password, use a unique credential, and notify security@ringready.org if you believe an account or RingReady data is at risk.
8. Children
RingReady is not directed to children and is available only to adults age 18 or older. We do not knowingly collect personal information from a child under 13. If you believe a child submitted personal information, contact privacy@ringready.org so we can investigate and delete it when required.
9. Changes to this policy
We may update this policy as RingReady changes or laws require. The effective date at the top shows the latest revision. If a change materially affects how we use information already collected, we will provide notice appropriate to the change before it takes effect.
